Internship Assignment: Booking Tool for Meeting Rooms

During my internship at WE+ BeneLux, I developed a web application that allowed administrators to manage meeting rooms linked to Outlook and synchronized with different companies. The goal was to prevent double bookings and provide a central solution for multiple organizations. Regular users can easily book rooms via Outlook; these bookings are automatically synchronized with the application and other linked companies.

Summary

The assignment consisted of analyzing the existing situation and realizing a user-friendly application. An important aspect was the integration with Outlook: when a meeting is created in Outlook with a room, that room is automatically booked in all linked companies. The technology stack (Angular for the frontend and Spring Boot for the backend, supported by a PostgreSQL database) was chosen by the company. For easy setup and management of the database and database manager (Adminer), I used Docker Compose.

What did I do?

I completed the entire development process independently: from the analysis phase and creating wireframes in Figma to implementing the frontend, backend, and database. For the Outlook integration, I only received two empty company environments in Microsoft; so I had to create the application in Microsoft myself and request all necessary tokens and permissions. I also set up the connection with Outlook so that room bookings are automatically synchronized between different companies. The design is fully responsive with Tailwind CSS and integrations were made with existing systems. Although I carried out the project alone, I could always ask colleagues for help if needed. Every two weeks, I presented a demo of my progress and the planned work for the next sprint.

How did I approach it?

I started with a thorough analysis of user needs and drew up a plan of action. Then I worked iteratively according to agile principles: after each sprint, there was a demo and feedback was processed. For the Outlook integration, I used a combination of the Microsoft Graph API, PowerShell, and webhooks to synchronize bookings and rooms between different companies. For version control, I used GitHub. I mainly used Docker for easier database setup, so I quickly had a consistent environment locally for testing and development.
